How it works

AI phone answering, set up for you in about a week

No new phones and no software for your team to learn. We learn how your office runs, write it up for your approval, test it, and switch it on for the calls you choose. (Complete Front Desk takes 2–4 weeks, because it connects to your office software. Setup time depends on your scheduling software.)

  1. Day 1 · 20 minutes

    We learn your office

A short call (or a visit, if you're near us in Silicon Valley) about your hours, services, staff, booking rules, payment options, insurance plans if you take them, and who handles urgent calls after hours.

  2. Days 2-3

    We write your office playbook

Every answer the assistant may give, in plain English, with Spanish and Vietnamese versions. You read it, change anything, and approve it. Nothing goes live that you haven't seen.

  3. Days 3-5

    We test it hard

We run test calls in all three languages, including tricky ones: insurance and pricing questions, "how much will this cost?", and late-night emergencies. You're welcome to call in and try to stump it.

  4. Go live

You forward the calls you can't get to

Set your line to forward after-hours, busy or unanswered calls. Same number, same phones. You can switch it off any time.

  5. Every morning

Your team gets one tidy summary

Every call, the outcome, and a short list of anything that needs a person, with callback numbers ready.

  6. Every week of the pilot

    We review calls with you

We listen for anything that could be smoother and fix it. You always have one real person to call: us.

What a call sounds like

Warm, short, and honest about being an AI

Assistant: Hi, thanks for calling Sunny Smiles Family Dental. I'm Sunny, the office's AI assistant. This call is recorded so our team can help you. How can I help today?

Caller: Hi, I'm new to the area and need a cleaning. Do you take Bay Dental Plus?

Assistant: Yes, that's one of the plans the office works with. Our team will check your benefits before your visit. I have Tuesday at 9 AM or Wednesday at 10 AM. Would either work?

Caller: Wednesday at ten.

Assistant: Great. I've put in Wednesday at 10 AM for a new-patient exam and cleaning. The team will text you to confirm, along with the new-patient forms.

One example, from our fictional demo dental office. Plan names and times are made up. For your business, the assistant uses your name, your services and your rules. See other industries.

Setup questions

Which calls go to Valley Front Desk?

You decide. Most offices start with after-hours and lunch calls, plus any call your team doesn't pick up within a few rings. Some later add all calls on busy days.

Does our office phone system support forwarding?

Almost every office phone system and carrier can forward calls when there's no answer, when the line is busy, or on a schedule. We'll look at your setup with you on the first call.

Why does Complete Front Desk take longer to set up?

Check-in, intake forms, eligibility checks and text-to-pay connect to your office software and need registered business texting. That usually takes 2–4 weeks. Setup time depends on your scheduling software. It also depends on how quickly texting registration is approved. Phone answering can start sooner while the rest is connected.

Who keeps the answers up to date?

We do. Email us a change (new hours, a holiday closure, a new service or insurance plan) and we update it, usually the same business day.

Can we listen to calls?

Yes. You can review calls and transcripts for your office. Personal details will be redacted in transcripts, and we keep records only as long as your office needs them.
